Artificial Intelligence (AI) Use Policy

Aesthetic Bureau uses limited artificial intelligence tools to support communications, presentation, and operational efficiency. This policy exists to ensure AI is used responsibly, transparently, and without undermining human judgement, regulatory compliance, or client trust.

Scope of AI Use

Aesthetic Bureau may use AI technologies for the following purposes only, alongside activities it does not use AI for:

AI is used for
  • Generative media for illustrative, conceptual, or aesthetic purposes
  • Administrative automation — email capture, enquiry routing, scheduling assistance
  • Drafting support — early-stage language or formatting assistance
AI is not used to
  • Make final decisions
  • Provide legal, medical, or regulatory advice
  • Approve or publish regulated claims
  • Replace professional judgement

Human Oversight & Decision-Making

All material decisions, recommendations, approvals, and judgements are made by human professionals. No AI system is authorised to act autonomously on behalf of Aesthetic Bureau.

AI outputs are treated as:

AI-generated content is a starting point, not a finished output.

Subject to review, modification, or rejection

Every AI output is assessed by a qualified person before any use.

Non-authoritative unless explicitly validated

AI outputs carry no authority in themselves. Authority rests with the human professional who reviews and approves them.

Generative Content Disclosure

Where generative AI is used in visual or video material:

  • Content is representational or conceptual in nature — not literal or documentary
  • No AI-generated content is presented as real patients, real outcomes, or factual clinical evidence
  • Any resemblance to real persons or events is coincidental unless explicitly stated

Data Protection & Privacy

Aesthetic Bureau does not knowingly input confidential client data, personal medical information, or sensitive commercial information into public or uncontrolled AI systems.

Where automation tools are used for email capture or enquiries:

  • Data is handled in accordance with applicable data protection laws, including UK GDPR where relevant
  • Information is used solely for communication and service delivery purposes
  • Data is not used to train third-party AI models unless explicitly agreed

Risk, Compliance & Accountability

AI tools are selected and used with regard to regulatory expectations, platform advertising standards, and reputational and ethical risk.

Responsibility for compliance always remains with Aesthetic Bureau — not with any AI provider or tool.

Policy Review

This policy is reviewed periodically to reflect regulatory developments, changes in AI capability, and evolving professional standards.
